2. VidyoConnect Room and VidyoControl App Overview

The VidyoConnect Room user interface offers you streamlined workflows and a branded modern appearance that models the same look and feel as Enghouse Vidyo’s other video collaboration products. The VidyoConnect Room allows you to join Vidyo conference calls, make point-to-point calls, display appointments from a connected calendar account, invite others to appointments, and control your Vidyo conferencing experience all from a single application with an intuitive user interface.

You can control your VidyoConnect Room system using either the:

VidyoConnect Room system types

Your Administrator can configure your system as either a General Collaboration type or a Healthcare type. The General Collaboration type became available starting with version 20.3.0 and caters to all business types outside of healthcare, including enterprise and education.

The Healthcare system type, which includes the Medical Cart and Patient Room sub-types, became available starting with version 20.2.0.

General collaboration

The General Collaboration system type caters to all business types outside of healthcare, such as education, enterprise, etc.

  • Pre-call – The user has full access to all the menu bar functionality: Home, Contacts, Search, Settings, etc. Additionally, an Admin can set up the General Collaboration Home page as either the Contacts page or the Calendar page.
  • In-call – The user has full access to all the menu bar functionality and the following features: moderation, recording, layout, IVR dialing, and waiting room.

Healthcare

The Healthcare system type is designed specifically for telehealth as a secure HIPAA-compliant solution delivering quality and efficient care for patients by their medical caregivers. An Admin must enable a Healthcare system sub-type as a Patient Room (only for patients) or a Medical Cart (only for healthcare/medical personnel).

Our telehealth solution supports both the Thinklabs One digital stethoscope, which enables remote physicians to hear auscultations during a visit, and the JEDMED Horus Scope, a hand-held video system which uses interchangeable attachments to take still images or videos for multi- discipline medical applications. Additionally, our VidyoConnect Room systems are compatible with the Inogeni or Av.io content sharing devices.

  • Patient Room
  • Pre-call – Before a call, a patient has access to the Home, Settings, and Help pages. The patient will always land on the Calendar home page so they can access virtual appointments; however, they cannot search for or add favorite contacts (Persons, Rooms, or H.323./SIP Endpoints). Before a call, a patient can use the Settings feature to adjust the speaker volume.
  • In-call – During a call, a patient can use the menu bar buttons to view conference participants, mute the speaker, microphone, and video, turn on and off the self-view, view help information, and view settings.
  • Medical Cart
  • Pre-call – The doctor, nurse, or other medical provider has full access to all the menu bar functionality: Home, Contacts, Search, Settings, etc. Additionally, an Admin can set up the Medical Cart home page as either the Contacts page or the Calendar page.
  • In-call – During a call, medical personnel can use the menu bar buttons to view conference participants, mute the speaker, microphone, and video, turn on and off the self-view, view help information, view settings, turn on and off the Camera Mode and Sensitive Mode, and use the chat feature. Additionally, medical personnel can use the following features: moderation, recording, layout, and waiting room.

Benefits

The VidyoConnect Room modern UI and VidyoControl app offers these advantages:

  • Ability for an Admin to set up the Home page as either the Contacts page or the Calendar page via the “Display on Home Screen” option.
  • Improved security with an option to require users to enter a four-digit alphanumeric code when accessing the Settings > Network option.
  • Ability to join a meeting easily and quickly with a meeting ID.
  • A display of all your devices for easy access to Cameras, Content Share, Horus Scope, and Stethoscope.
  • Ability to turn on or off your camera and pre-set it for each call.
  • A scroll capability to view calendar appointments and the ability to view all invitees.
  • Ability to pair multiple different physical room systems (HD-2, HD-3, and HD-3C) together in a group to see a greater number of remote video tiles in your larger conference calls (version 20.3.0 and later).
  • For example, you could pair an HD-3 with four displays and an HD-3C with four displays into a group and see 128 participants on the eight displays (only available with the Modern UI).   • An Admin can designate one room system as Primary and connect and designate several other room systems to it as Secondary.
  • The purpose of the Secondary systems is simply to join meetings that the Primary system is joining and display the video tiles from remote participants. If the Primary system is not up and online, Secondary systems cannot join calls. Conversely, the Primary system can join calls when the Secondary systems are off.
  • Audio devices (mic and speakers), video devices (cameras), and content share devices (such as INOGENI or AV.io) can be connected to the Primary room system only. Secondary systems will not detect those devices even if the devices are physically connected to them.

Requirements

To use the VidyoConnect Room, you must first upgrade your system to Windows 10 IoT and then download and install the VidyoConnect Room UI as described in the following subsections.

The VidyoRoom Packages page provides the download links needed to upgrade to Windows 10 IoT and to install the VidyoConnectRoomInstaller for both General Collaboration and Healthcare.

Upgrade your VidyoRoom system to Windows 10 IoT

Before you can begin using the VidyoConnect Room, you must first upgrade your VidyoRoom HD-2 or HD-3 hardware system to Microsoft Windows 10 IoT.

Download and install the VidyoConnect Room UI

After your system is upgrades to Windows IoT, you can then download and install the VidyoConnect Room UI.

Starting with version 20.3.0, if you are using a VidyoRoom HD-2 and HD-3 system, you can download the modern VidyoConnect Room UI with the VidyoConnectRoomInstaller software. To get the VidyoConnectRoomInstaller, go to the Downloads page, VidyoRoom Packages.

When the software starts, you will be logged into the system based on information configured by your Admin.

Note

The classic VidyoRoom UI (prior UI) is only available to customers using Windows 7 (obsolete) and Windows 10 on certain VidyoRoom systems, such as the HD-3, HD-3C, and HD-2. If you are installing the classic UI, you must install the Gen 3 image appropriate for your system model.
